1. Your booking

The event is presented by Up In Stone and curated and managed by Runestone XP. For registrations, payments, booking changes and event support, contact Ricky and the Up In Stone team, who will coordinate with Runestone XP.

Submitting registration details alone does not confirm or reserve a place. A booking is confirmed when payment succeeds and the booking is accepted. Keep your payment receipt and booking reference. The person booking must have authority to make the purchase and permission to provide the other participants’ details.

These terms apply to this event. The package description and any specific inclusions agreed with you in writing form part of your booking. Please read them before paying.

2. Packages & payment

Team of four — $1,500: golf for four players, shared motorised carts, a beer and burger on arrival, presentation platters and a player pack.

Hole sponsorship — $2,000: tee signage, a logo on the sponsors’ media wall, MC mentions at the welcome and presentation, and a feature in the Pink Golf Day video. Playing places are purchased separately.

Sponsor + team of four — $3,500: both packages above.

All advertised package prices are in Australian dollars and include GST. Any additional charge must be disclosed before you pay. Payment is processed through secure checkout. Travel, accommodation, equipment hire and purchases outside the stated inclusions are not included.

3. Changes, cancellations & refunds

Send cancellation or refund requests to rwj@upinstone.com.au, including the booking name, reference and reason. For player substitutions or a change of team contact, get in touch as early as possible so we can update the booking and check venue requirements.

Changing your mind, being unable to attend or not attending does not by itself create an automatic right to a refund under Australian Consumer Law. Voluntary cancellation requests are reviewed individually, and we will explain the available options in writing. No fixed cancellation percentage is specified for attendees in these terms.

If we cancel the event or make a significant change, we will contact the booking holder and explain the available arrangements and any refund or other remedy required by law. A credit or transfer will not replace a refund where you are legally entitled to choose a refund.

The golf club’s cancellation charges for the organiser’s venue booking are not automatically charged to an individual team or sponsor. Any proposed deduction must have a lawful basis and be explained to you. Nothing in these terms limits rights or remedies that cannot lawfully be excluded, including under Australian Consumer Law.

4. Wet weather, postponement & disruption

The Brisbane Golf Club determines whether the course is playable and may suspend or cancel golf for safety. Rain alone does not establish that the event has been cancelled. Please follow official event updates and the club’s directions.

Under the club’s corporate golf conditions, if it declares the course unplayable on the day, the club refunds golf-related costs to the organiser, while catering is still expected to proceed and be paid for. This also applies if another golf date can be arranged.

If this happens, we will explain which parts of your package can still be delivered, any proposed replacement date, and the refund or credit available for affected components. Catering and other services that go ahead are assessed separately from cancelled golf. Any applicable consumer rights remain in place.

Severe weather, venue closure, power failure, government restrictions or other events outside reasonable control may affect delivery. We will notify booking holders of material changes as soon as practicable. This clause does not automatically forfeit your payment or remove any legal entitlement to a refund.

5. Players, catering & the venue

Arrival and registration begin at 11:00 am, with a 12:30 pm shotgun start. The format is four-person Ambrose. Please arrive in time for registration and the player briefing.

Please provide final player names and dietary requirements by 6 November 2026, seven days before the event. Contact us directly about later changes. Only share information needed for catering, with the relevant person’s permission. Let us know about an allergy so we can discuss arrangements with the venue; an allergen-free environment cannot be assumed.

All guests must follow the club’s dress code, course and cart rules, safety instructions and lawful staff directions. The venue may refuse entry for dress-code breaches. Alcohol is served in accordance with responsible service requirements and only to eligible guests; service may be refused.

Outside food or drinks require the club’s prior written approval. Smoking is permitted only in designated areas. Please look after personal belongings, use equipment responsibly and report hazards, incidents or damage to event staff.

6. Sponsors & activations

Provide artwork you are authorised to use, and follow the artwork and delivery deadlines supplied for your booking. Permission to use your supplied logo is limited to delivering and promoting the agreed sponsorship.

Runestone XP coordinates signage with the venue, which controls final placement. A particular hole or location is not guaranteed unless agreed in writing and approved by the club. Activations, equipment, external suppliers, filming and items fixed to the venue require prior approval. Contact us before arranging deliveries or installation.

7. Fundraising & prizes

The day supports breast cancer fundraising. Team entry and sponsorship purchase the advertised event benefits; they are separate from optional raffle entries, auction purchases or donations. No particular donation amount, charitable recipient or tax-deductible status is promised by these booking terms.

Raffles, auctions and supplied prizes may have separate rules or redemption conditions, which will be provided before entry, bidding or purchase. Check any expiry dates, availability restrictions and exclusions before taking part.

8. Privacy & event media

Our privacy policy explains how we handle booking details, player information, sponsor artwork and payment records. Registering does not automatically subscribe you to marketing.

Photography and filming may take place for event coverage and sponsor features, subject to venue approval. Tell us before the event and speak with event staff on arrival if you do not want to be featured. These terms do not grant an unrestricted right to use your image.

9. Contact & applicable terms

Email rwj@upinstone.com.au or call +61 434 319 646. Our support page brings together booking help and policies.

The version of these terms provided when you book applies to your purchase. Later website changes will not retrospectively reduce your rights. Queensland law and applicable Australian law govern these terms, without restricting any mandatory rights or remedies.
